Instagram AI Assistant is a service provided by OwlSolutions that helps businesses manage Instagram Direct conversations using automation and AI assistance.

• Account information: company name, user name, email address, and login credentials stored securely.
• Instagram connection data: Instagram professional account ID, username, connection status, encrypted access tokens, token expiration and refresh metadata.
• Instagram messaging data: incoming and outgoing messages, conversation IDs, sender scoped IDs, timestamps, delivery statuses, and webhook events required to operate the assistant.
• AI assistant settings: business description, prompts, reply style, language preferences, and handoff rules.
• Leads and CRM data: lead information such as name, contact details, request details, status, and conversation references, when this data is created by the assistant or the client.
• Technical data: logs, error details, webhook diagnostics, and security-related records needed for reliability and abuse prevention.

4. How we use information

• Connect and verify Instagram professional accounts.
• Receive Instagram messages and process them in the client dashboard.
• Generate AI-assisted replies based on client instructions.
• Send replies on behalf of the connected business account.
• Display conversations and leads in the client interface.
• Maintain security, diagnostics, and operational reliability.
• Comply with legal and platform obligations.

5. Meta / Instagram permissions

• instagram_business_basic: used to identify and display the connected Instagram professional account.
• instagram_business_manage_messages: used to receive, process, and send Instagram Direct messages for the connected account.
• instagram_business_manage_comments: used only when comment-related automation is enabled, including possible comment-originated interactions and future comment-to-DM capabilities.

6. AI processing

Messages and business instructions may be processed by AI providers to generate suggested or automated responses. AI output is intended to assist business communication and can be reviewed by the client in the dashboard.

7. Data sharing

We do not sell personal data. We share data only when needed to operate the service, including with infrastructure providers, AI providers, Meta/Instagram APIs, and legal authorities when required by law.

8. Data retention

Data is retained while a client account is active, or as needed to provide the service. Clients can request deletion. Diagnostic and security logs may be retained for a limited period to support reliability, fraud prevention, and compliance.

10. Security

• Access tokens are stored in encrypted form.
• Access controls are applied by account and role.
• Tenant separation is enforced by client account boundaries.
• Tokens are not intentionally displayed in the user interface.
• Operational logging is designed to avoid intentional exposure of secrets.
